Position Overview
Position Title: Front Desk Patient Coordinator
Department: Dental Home (Front Desk / Patient Services)
Reports To: Dental Home Director
Role Type: Administrative (Non-Clinical)
FLSA Classification: Non-Exempt
Employment Type: Full-Time or Part-Time (schedule varies by Dental Home)
Pay Range: $17.00 – $21.00 per hour
Primary Location: KSCOHC Trenton, NJ (flexibility to fill in at other locations as needed)
Position Summary
As a KinderSmile Foundation bilingual Front Desk Patient Coordinator (FDPC), you are responsible for providing support to dental professionals and ensuring a comfortable, efficient, and professional environment for patients. You will manage exceptional patient support and smooth front desk operations, including greeting patients, managing appointments, verifying insurance eligibility, handling billing, and maintaining a clean and organized workspace.
You will work collaboratively with Dentists, Dental Hygienists, Dental Assistants, and other Dental Home staff and volunteers, fostering a team-oriented atmosphere. This position requires an interest in Public Health and community service, along with excellent organizational, communication, and interpersonal skills. You are ethical, friendly, punctual, reliable, and have an affinity for working with children.
Essential Duties & Responsibilities
1. Patient Care & Customer Service: Provide supportive, professional intake and assistance to patients and families in person, by phone, and by text before and after each appointment; greet patients and maintain a clean, organized front desk aligned with KinderSmile Foundation's philosophy of Education, Intervention, and Prevention.
2. Scheduling & Appointment Management: Review patient schedules and charts; schedule appointments using recall, quickfill, and follow-up lists; confirm all appointments in advance and verify insurance eligibility prior to each visit; track lab cases to ensure timely pickup, return, and scheduling of each treatment step.
3. Insurance, Billing & Collections Integrity: Verify CDT codes against provider notes before processing walkouts; process claims and pre-authorizations daily; collect accurate payments; complete and balance Daily Log Sheets; follow KinderSmile Foundation cash-handling protocols.
4. Accounts & Administration: Upload required documents to Eaglesoft SmartDocs; reconcile in-kind patient accounts; respond promptly to billing company requests; process End-of-Day, End-of-Month, and End-of-Year Eaglesoft reports.
5. Policies & Regulatory Compliance: Follow all policies and procedures approved by the CEO and COO; adhere to KinderSmile Foundation's Standard Operating Procedures and applicable regulatory standards including OSHA and HIPAA.
Qualifications
Education & Credentials:
High school diploma or equivalent
Current BLS/CPR certification preferred
Experience:
Previous experience in a dental office working with pediatric patients and an affinity for Public Health Dentistry
Skills & Proficiencies:
Familiarity with Eaglesoft Patient Management System
Familiarity with dental software and electronic health records
Bilingual (Spanish): proficiency in speaking, reading, and writing required
Good communication and telephone skills
Organized, punctual, and reliable
